Offboarding someone (managers)
Deactivate a leaver, and what that actually blocks.
For managers & adminsUpdated 31 August 2026
Open Employees. The directory has Employees, Join Requests and Deactivated tabs, each with a count.
- Find the person and choose Deactivate.
- Confirm. You'll see "Employee deactivated" and they move to the Deactivated tab, badged Deactivated.
- Reactivate from the same tab restores them.
What deactivation does
Deactivation is a real lockout, not a hidden flag — sign-in is blocked on web and mobile. Their history stays: past shifts, timesheets and documents remain intact for reporting and payroll.
Practices
- Deactivate rather than delete. Deleting a person destroys the record that they worked those hours.
- Deactivate on the last day, not the day the resignation is announced — they still need their own timesheet until then.
- Check for future shifts before deactivating, or those shifts silently become unstaffed.
- Revoke any kiosk they had access to, and remember their PIN stops working with the account.
